What You’ll Be Doing:

The role will be primarily administrative and based in the Legal & Business Affairs team, but you will work across departments and have a diverse set of responsibilities aimed at ensuring smooth and efficient operations business-wide, including the following duties:

Business Affairs:

  • Support rights management processes including data entry, maintenance and reporting within rights management systems;
  • Invoice processing and budget monitoring;
  • Assist with ancillary agreement workflows, term sheets and approval tracking; and
  • Contract administration, responding to rights enquiries and overseeing compilation and sample licensing.

Finance and Royalties:

  • Compiling reports for live income rights, compilation rights and rights renewals to assist business decision-making;
  • Support with A&R budget monitoring;
  • Assist Royalties with data coordination, communication and process support; and
  • Assist Finance with letters of direction, novations and change of bank requests.

Repertoire, Sync and Neighbouring Rights:

  • Rights checks and data coordination;
  • Assist with onboarding and offboarding processes;
  • Support the preparation and organisation of repertoire information, documentation and internal reporting; and
  • Assist with the tracking and coordination of catalogue updates and rights information.

Digital Operations:

  • Provide coordination support to Digital Operations teams to ensure smooth release workflows;
  • Reviewing broadcasting, live performance and licence-out agreements; and
  • Sense-checking GDPR-related queries, and legal aspects of promotional and marketing campaigns.

Key Responsibilities:

  • Provide day-to-day administrative support to the Legal & Business Affairs team (in London, Brussels and Paris) while supporting workflows across the wider business.
  • Act as a central point of contact for internal and external queries, ensuring enquiries are directed to the correct person and responses are delivered in a timely manner.
  • Coordinate meetings, documentation and follow-up actions across departments.
  • Track rights expiries, deadlines and deliverables to ensure diligent operation.
  • Supporting cross-departmental projects by ensuring timelines are met and resources are allocated efficiently.
  • Maintain databases and ensure data integrity across departments.
  • Generating and analysing reports to support decision-making processes.

Skills and Experience Required for the Role:

  • Proven experience as an administrative assistant / coordinator or similar role preferably in the music industry.
  • Basic understanding of music industry contracts, rights and licensing.
  • An ability to work accurately under time pressure with little supervision.
  • Ensuring accuracy in all tasks and documentation, particularly related to contracts, licensing deals, royalties and financial reporting.
  • Ability to manage multiple tasks and prioritise effectively in a fast-paced music industry environment.
  • Highly proficient with office software (e.g. Microsoft Office Suite).
  • Strong written and verbal communication to interact with various stakeholders.
