Personal Assistant – (UK-Based)

About the Role:
The Personal Assistant (PA) is a key, all-round role offering smooth support across personal, professional, and home life of the artist. The PA acts as the central link for spotting needs early, keeping things flowing, and making sure the artist’s life, home, and plans all fit together effortlessly. You will work closely with management & the wider team. This role calls for proactive care, total discretion, and flexible excellence in a lively, changing setting.
This is a full-time position with flexibility for evenings, weekends, and plenty of travel.
Key Responsibilities
Personal & Professional Support
- Help manage the full calendar: work commitments (studio time, meetings, appearances), personal appointments (glam, styling, wellness), and social plans.
- Keep planners and calendars up to date in real time, avoiding any clashes and giving clear visibility for the artist and the team.
- Handle all travel details—flights, visas, places to stay, transport, full itineraries, and backup plans.
- Share day sheets and travel plans with the artist, management, PR, and fashion/styling agents.
- Draft and handle emails, notes, and updates to keep everyone in sync.
- Process expenses, track budgets, and ensure accuracy alongside management and accountants.
- Keep a secure, organised list of passwords for the artist and company accounts.
- Liaise with legal teams to pass on info, follow up, and help with quick decisions when needed.
- Store contracts securely in a clear filing system.
- Pack and unpack for trips; organise wardrobe, personal items, and work materials with care.
- Deal with confidential matters professionally and thoughtfully.
- Run errands: collect mail, book restaurants, handle appointments, source items, and tackle any other tasks as they come up.
- Take photos or short form videos for social media if needed.
Household Management & Personal Support
- Daily Operations: Handle morning setups (spaces, breakfast) and evening tidy-ups (cleared, restocked); maintain spotless home, fix issues promptly.
- Household Manual: Build/update with preferences for lighting, temperature, organisation, food, style, and routines.
- Vendor Coordination: Schedule/oversee cleaners, gardeners, technicians for maintenance, repairs, deep cleans, and improvements; assign/check tasks.
- Wellbeing: Book fitness, nutrition, and wellness activities to fit diary/preferences; liaise with chef on meals; manage health appointments, follow-ups, and private records.
- Finance & Admin: Pay household bills, track budgets; organise documents (contracts, warranties, insurance, workflows) digitally/physically.
- Central Logging: Record tasks, contractor communications, and maintenance in one place.
- Special Projects & Personal Touches: Plan small home events, wellness setups, and eco-friendly updates to match the artists vision; implement privacy/security measures during busy/high-profile periods.
Note on Role Flexibility
This role is like a living, breathing part of everyday life—it gently evolves with the artist’s changing needs, ideas, and rhythms. You’re not just getting things done; you’re helping create a calm, uplifting flow, making small adjustments along the way to keep everything feeling easy, natural, and just right. You’ll work closely with the PA/Business Executive, seamlessly stepping in for each other when needed, ensuring the artist’s world stays smooth and supported, no matter what.
Qualifications & Experience
- 3+ years as a Private PA, or equivalent.
- Strong skills in Google Suite, Microsoft Suite, Asana, Apple ecosystem,
- Comfortable handling multiple tasks with a calm, problem-solving approach.
- Great communication, emotional intelligence, and relationship-building in creative and professional circles.
