FINE GROUP ENT. – PERSONAL ASSISTANT (preferably MiamiBased)
About the Role:
We are seeking a highly trustworthy, proactive, and resourceful Personak Assistant to support our dynamic entertainment executive across personal and business ventures. This role demands exceptional organizational skills, integrity, and a positive attitude in a fast-paced environment. You must be proactive. You will play an essential part in managing daily tasks, liaising with industry contacts, and ensuring smooth operations both personally and professionally.

Responsibilities:
Personal Responsibilities:
- Booking flights, vacations, and car travel
- Communicating with accountants and lawyers
- Making restaurant reservations
- Assisting with personal administrative tasks for CEO and immediate family
- Managing household staff, bills, and coordinating household logistics
- Tracking key personal events: visa renewal, passport renewal, birthdays, etc.
- Organizing Dropbox files and maintaining spreadsheets of streaming data and key stats
- Managing house bills and household coordination
CEO and Client Responsibilities:
- Managing the CEO’s and clients’ diaries and calendars
- Scheduling meetings across multiple time zones, including conference calls via Zoom, Google Meet, etc.
- Preparing materials for meetings, attending calls/meetings, and summarizing actions
- Handling sensitive and confidential information with discretion
- Assisting with gift arrangements for clients and gifts management
- Booking tickets, restaurants, and event logistics for clients
- Research, project assistance, errands, and miscellaneous logistical tasks
- Updating royalty spreadsheets and reviewing monthly commission statements
Qualifications:
- Prior experience in the entertainment industry or a fast-paced, high-pressure environment
- Excellent oral and written communication skills, with great interpersonal abilities
- Highly organized, detail-oriented, punctual, and proactive
- Strong work ethic with the ability to work under pressure and handle sensitive information discreetly
- Proficiency with Excel/Google Sheets and document organization
- Flexibility to work flexible hours and adjust to US/ UK schedules
- Willingness and ability to travel outside the US, including internationally
Preferred Skills & Qualifications (Optional):
- Familiarity with industry-specific tools and platforms
- Additional language skills
- Experience working with high-profile clients or managing household operations
