Personal Assistant to Artist – Part Time (with a path to full time employment), Berlin
Reports to: Artist & Artist Manager
Overview
We are seeking a highly organized, discreet, and proactive Personal Assistant to support a dynamic artist across both personal and professional aspects of their life. This role requires exceptional attention to detail, flexibility, and the ability to operate in fast-paced, high-pressure environments while maintaining absolute confidentiality.
Responsibilities
- Manage complex calendars across multiple time zones
- Coordinate sessions, appearances, travel, and personal commitments
- Book and manage all travel (flights, hotels, cars, visas, itineraries)
- Prepare detailed travel itineraries and briefing documents
- Travel with the artist when required to manage on-the-ground logistics
- Oversee personal errands (shopping, gifting, appointments, household needs)
- Liaise with management, label, publicists, agents, and brand partners
- Assist with light production coordination (studio bookings, guest lists, etc.)
- Act as a key point of contact on behalf of the artist
- Screen calls, emails, and requests with discretion
- Draft and manage correspondence as needed
- Be present at key events, shows, or shoots when required
- Ensure artist is prepared, on time, and has everything needed
- Troubleshoot issues in real time with calm and efficiency
Qualifications
- 3–5+ years experience as a Personal Assistant, Executive Assistant, or similar role (entertainment industry preferred)
- Experience supporting high-profile or high-demand individuals strongly preferred
- Exceptional organizational and multitasking skills
- Strong problem-solving ability and resourcefulness
- High level of discretion and professionalism
- Ability to work non-traditional hours, including nights and weekends
- Valid passport and willingness to travel frequently
- Must be fluent German speaking & drivers license
