The Role – Business Support Coordinator
The main focus of the Business Support Coordinator is to provide administrative support to the Contracting & Finance team and Booking Agents. The Business Support Coordinator will report into the Business Affairs Director who will generate the day to day ‘work-flow’, initially from the contracting team. The role will also work closely with the Finance Manager in payment processing and the Booking Team to ensure contracts are created accurately and in a timely manner.
The role will suit a candidate who loves to be busy, has a proven track record of multi-tasking and/or supporting more than one person. The successful candidate will demonstrate they are comfortable working across different disciplines (preferably – finance, contracts and general admin).
Pure – Key Responsibilities and Duties
The key responsibilities and duties will include (the list is not exhaustive):
Legal
· Management of the ‘Contracts’ Inbox
· Providing general admin support for the contracting process; including correspondence with promoters & managers
· Chasing signed contracts
· Issuing deal memos & lower tier contracts
· Drafting Terms of Business for new clients
· Data inputting and management of database; including maintaining contract tracking charts and library of executed agreements
· Following and maintaining legal and finance internal systems
· Supporting the creation / updating of company legal templates
Finance
· Support management of the ‘Finance’ Inbox
· Accounts Receivable – ensuring prompt receipt of income deposits including chasing debtors
· Updating company database with financial information & report generation
· Invoicing – liaising with Artist mgmt./accounts for the delivery of invoices and payment information
· Staff expenses – supporting management of Director’s expenses, uploading to accounting software
· Accounts Payable – checking, coding and filing supplier invoices, following approval process
· Assisting with gathering international tax information from promoters, updating database and communicating with management
Booking & General
· Assisting with onboarding new clients
· Inputting show data into the central booking system
· Supporting updates to company website
· Supporting across Pure’s sustainability initiatives
· Supporting Director/GM in charitable work and affiliations
· Supporting the General Manger to plan team activities including attendance to industry events
· Booking travel and accommodation
· Collecting ticket sales information to provide weekly updates to artist management
· Compiling tour support submissions
· Collecting avails, creating schedules to communicate to management & tour managers
· Handling guest lists logistics
· Day-to-day admin & research tasks
· Attending shows and events as a company representative when required outside of normal office hours
From time to time and at the discretion of Senior Management you may be required to perform other duties not previously detailed in your job description which are reasonably within your capabilities, to meet the specific needs of the business.

The Person
The ideal candidate will demonstrate:
· 1-2 years’ administrative experience in a support role
· Confidence working with contracts and/or finance
· Experience of working with either a high-volume of emails or multiple inboxes
· A strong grasp of working with numbers and an excellent fluency with written English
· Impeccable attention to detail
· Good working knowledge of Microsoft Office (Excel & Word) & Adobe
· Excellent communication skills (written, verbal and listening)
· Exceptional organisation skills and proficiency in working to deadlines
· Experience to efficiently manage a high volume of emails and prioritiy
