Future Classic is hiring a highly organised, detail-oriented assistant to support the VP Recordings and to manage the administrative and operational backbone of rights management across our recordings and publishing catalogue.

This role is ideal for someone who is precise and systems-minded – someone who gets genuine satisfaction from clean data, airtight processes, and things being done properly and on time. Passion for music and the arts is important, but rigour, efficiency, and follow-through come first.

You will be responsible for the day-to-day administration of rights, contracts, registrations, and catalogues, ensuring that nothing slips through the cracks as projects move from creation to release to royalty reporting. You will also act as an administrative extension of the label head, helping keep complex workflows, deadlines, and external stakeholders moving smoothly.

This is a hands-on role with real responsibility and exposure across recordings, publishing, finance, and external partners.

Core Responsibilities
Executive & Operational Support
Act as a highly organised administrative assistant to the VP Recordings
Track deadlines, deliverables, and follow-ups across rights, contracts, and registrations
Maintain clarity across multiple concurrent projects and campaigns
Prepare, organise, and maintain documentation, trackers, and internal records
Ensure information is clearly communicated to relevant internal stakeholders
Rights Administration
Maintain Future Classic’s IP registers across masters and compositions
Enter and maintain accurate data across relevant systems (e.g. RightsHub, copyright logs, internal trackers)
Ensure catalogue data remains accurate, current, and audit-ready
Support royalty workflows by ensuring registrations and metadata are correct upstream
Liaise with finance teams on catalogue, contract, and royalty queries
Rights Registrations
Manage registrations across publishing, neighbouring rights, and performance rights bodies, including but not limited to:Publishing registrations
Neighbouring rights registrations
SoundExchange (including Letters of Direction)
PPCA / APRA registrations
Track registration status and resolve discrepancies with relevant societies and partners
Contract Administration
Ensure all agreements are fully executed, countersigned, filed correctly, and logged
Maintain a clean and current Legal & Business Affairs file structure
Track key deal terms and communicate relevant details internally
Support side-artist, remix, licence, and performer agreements from an admin perspective
Assist with invoicing and documentation related to advances and third-party payments
Process & Systems
Help develop, document, and refine internal systems and workflows for rights and admin
Identify inefficiencies and suggest improvements to how information flows across teams
Maintain consistency and discipline across tools, templates, and records
Royalty Reporting (Recordings & Publishing)
Support the end-to-end royalty reporting process across label and publishing catalogues
Ensure upstream reporting data is on time, correct and filed appropriately
Ensure all input data (contracts, splits, registrations, metadata) is accurate and complete prior to royalty deadlines
Assist in the preparation, checking, and delivery of royalty statements each quarter
Track reporting timelines and ensure statements and payments are delivered on schedule
Support the label head in responses to artist, manager, and internal queries related to royalty statements in a clear and organised manner
Maintain accurate records of reporting history, payments, and correspondence
Flag discrepancies, anomalies, or missing data to the label head and relevant stakeholders

Skills & Experience
Essential

Strong organisational and administrative skills
Extreme attention to detail and comfort working with complex data
Confidence managing multiple parallel tasks and deadlines
Clear written communication and follow-up discipline
Comfort working with contracts, spreadsheets, databases, and document systems
Preferred

2+ years experience in music rights, royalty administration, business affairs, or label operations
Experience with copyright or royalty platforms (e.g. RightsHub, Curve, RoyaltyShare or similar)
Understanding of recording and publishing rights fundamentals
Experience liaising with collection societies or rights organisations
