Role Overview
We’re hiring a Marketing Coordinator who will be the go-to executor for promotions and co-op marketing programs. You will run day-to-day setup and management of campaigns in HubSpot that our team brokers, including adding assets to campaigns, handling light accounting in our Vroom advertising system, assembling creative briefs, and ensuring smooth execution so our managers can focus on strategy and partner relationships. You’ll own ad planners, collateral organization, the promotional calendar, and customer/vendor data hygiene in HubSpot. You’ll assist market segmentation (in CRM system HubSpot and via B2B reports), support social asset creation (CapCut, Canva, HubSpot), and take on a roster of accounts currently unassigned (special markets, international, Christian and others). Some streaming marketing support is also part of the job including chasing pitch details and communicating placements with record labels, notifications and more.
What You’ll Do
- Campaign execution in HubSpot: build, QA, and launch brokered promotions; attach assets; track approvals; coordinate creative briefs and timelines.
- Co-op program operations: prepare ad planners; book/confirm placements; compile proof-of-performance; maintain collateral and link documentation.
- Promotional calendar ownership: maintain an accurate, updated calendar of booked programs; communicate key dates and dependencies.
- Data stewardship: maintain and segment customer/vendor data in HubSpot; leverage B2B reporting to refine targets.
- Social asset support: create/edit short-form video and static assets using CapCut and Canva; package for HubSpot campaigns.
- Account coverage: manage a roster of unassigned accounts (possibly including special markets, international, Christian and others).
- Streaming marketing (light): assist in pitching, metadata checks, and asset routing for entry-level streaming promos.
- Cross-team coordination: partner with AMPED managers and coordinators on briefs, timelines, and approvals; interface with accounting on reconciliation; contribute practical ideas to the creative process.
Tools You’ll Use
HubSpot, SharePoint, Airtable, Microsoft Excel (advanced), Canva, CapCut, Teams/Outlook, and AMPED’s proprietary B2B reporting tools.
What You’ll Bring
- Strong technical aptitude and comfort learning new systems fast.
- Super-detail orientation with excellent time management in a high-volume workflow.
- Excel expertise: V-LOOKUPs, pivot tables, data cleansing/merging, duplicates checks, and troubleshooting messy files.
- HubSpot familiarity and experience with SharePoint, Canva, CapCut, and Airtable.
- Clear written and verbal communication; comfortable coordinating with labels, retailers, vendors, and internal teams.
- Passion for music across genres; knowledge of physical music retail and co-op advertising is a plus. Having worked in a record store is a plus.
