What You’ll Be Doing

The role will be based in the Business Affairs team but will work across different departments in the business, with a diverse set of responsibilities aimed at ensuring smooth and efficient operations.

General administrative duties will include (but not limited to) scheduling and coordinating meetings, agendas and follow-up actions, serving as a liaison between departments ensuring effective communication and collaboration, handling correspondence including emails, phone calls and post, and preparing reports, presentations and other documentation as required.

Department-specific support will include (but not limited to) assisting (i) the Business Affairs Dept. with rights management software data entry / maintenance / improvement / reports, assisting with ancillary agreement workflow / term sheets and setting up agreements for signature (ii) the Finance Dept. with budget preparation, live income / A&R budget tracking, invoice processing and purchase orders (iii) the Royalties Dept. to ensure efficient management of data, communication and processes related to royalty calculations and payments (iv) the HR Dept. by assisting with training and development programs including those specific to music industry trends and technologies (v) the Marketing Dept. to ensure that promotional activities run smoothly and efficiently (vi) and supporting operational planning and project management.


Key Responsibilities
  • Providing day-to-day admin support to the Business Affairs team.
  • Acting as point of contact for internal and external queries.
  • Preparing reports, presentations and spreadsheets as instructed.
  • Supporting cross-departmental projects by ensuring timelines are met and resources are allocated efficiently.
  • Monitoring project progress and provide regular updates to stakeholders, including artists and management.
  • Maintaining databases and ensuring data integrity across departments.
  • Generating and analysing reports to support decision-making processes.
  • Ensuring company policies and procedures are consistently applied across departments, including artist agreements and intellectual property management.
  • Assisting in developing and updating organisational policies to align with industry standards and regulations.

Skills and Experience Required for the Role
  • Proven experience as an administrative assistant or similar role preferably in the music industry.
  • Basic understanding of music industry contracts.
  • An ability to work accurately under time pressure with little supervision.
  • Ensuring accuracy in all tasks and documentation, particularly related to contracts, licensing deals, royalties, and financial reporting.
  • Ability to manage multiple tasks and prioritise effectively in a fast-paced music industry environment.
  • Highly proficient with office software (e.g. Microsoft Office Suite)
  • Strong written and verbal communication to interact with various stakeholders.
  • A good team player.
