Role: Personal Assistant to Artist
Responsibilities
- Heavy calendar management, scheduling and coordinating personal, social and professional
- Act as liaison with business team / business management
- Client health management: Trainer, Nutrition, Doctor’s Appointments, Chef, Wellness
- Managing the daily operations of estate inclusive of staff and vendors, not limited to housekeepers, chefs, etc.
- Supervising all ground and house staff and providing training / day to day feedback
- Managing all maintenance, repairs, and renovations for multiple properties
- Prepare and review expense reports monthly in line with business management
- Manage storage inventory and shipments
- Assist with researching various requests
- Assist with home maintenance / operations
- Create travel itineraries/ booking travel
o Private Travel
o Commercial Travel
o Ground transportation
o Hotels
o Holidays - Answer phones in a professional manner, take messages and direct calls, maintain a call sheet and meeting sheet
- Running miscellaneous errands as needed: clothing, groceries, health, stores etc.
- Responsible for car washes, detail, fuel, paperwork etc.
- Mailing packages
- Compiling agendas for calls and meetings
- Sending daily schedule
Qualifications:
- Excellent relationship skills; comfortable interfacing with executives, associates, and other internal and external business contacts.
- Excellent written and verbal communication skills
- Candidate must have the ability to work well in a dynamic and fast-paced organization and manage multiple tasks and conflicting priorities.
- Exceptional organizational and time management skills.
- Attention to detail and timely follow up
- Demonstrated ability to handle sensitive issues and maintain complete confidentiality.
- Self initiative and motivation a must.
- Ability to identify and resolve issues.
- Capable of writing reports and business correspondence
- Excellent organization, prioritization, and time management skills
- Italian / Spanish speaking a plus
- Must be willing and available to travel 6+ months a year
- Must have access to reliable transportation
